Course and Training Guidelines

The guidelines/policies that appear here are applicable for Instructor-Led Courses only.  

Waitlist Policy

  • Trainees may enroll in courses through the website and Absorb LMS on a first come first serve basis. 

  • Once course capacity has been met, the course will still appear on the website, where the trainee can still “enroll” and be placed on the course waitlist in Absorb.  Maximus will contact trainees that are waitlisted via email. 

  • If a trainee disenrolls from a course, the next trainee on the waitlist will be automatically enrolled and will be sent notification via email. 

  • Courses will be listed until one week prior to the class start date, when the courses will be closed for enrollment/disenrollment. 

  • Once the enrollment period for the course has expired, Maximus will manually deactivate the waitlist and those trainees still on the waitlist will be removed and sent a notification indicating that they were not enrolled in the course. 

Cancellation of Training Policy

This cancellation policy will establish the process Maximus will use to account for circumstances such as inclement weather, natural disaster, or low enrollment for trainings that are conducted at both external and Maximus training locations.

Inclement Weather/Natural Disaster/Public Health Emergency

In the event that there is inclement weather, natural disaster, public health emergency or any other disruption on the day of the scheduled training, the Maximus training team will contact the trainees, via phone, to advise them of any changes.  Maximus will also email the trainee’s supervisors in order to provide status updates to trainees if delays/cancellations are anticipated.  

In the event that a training is canceled, Maximus will be responsible for notifying the enrolled participants. Maximus acknowledges that no payment will be made for canceled courses or for any incurred expenses.

Low Enrollment

If, two (2) weeks prior to a scheduled classroom session, the registration for the session is less than the recommended minimum or more than the recommended maximum class size, Maximus will contact the Department to mutually decide if the training should be conducted. 

Maximus understands that the Department will consider factors that could result in a class being conducted outside the recommended class size. These factors include, but are not limited to, timely availability of future sessions, and availability of alternate delivery methods. Maximus will work with the Department to reschedule any cancellations as timely and with minimal impact to the training audiences.   

Maximus will be responsible for securing training space, materials and equipment, and providing reimbursement to qualified class participants for any sessions held outside the recommended class size. 

In order to avoid paying cancellation fees, Maximus will select external venues and locations that have flexible cancellation policies required in consideration of the two (2) week notification policy for low enrollment referenced above.
